The rules, in plain English
Read before you register. If anything is unclear, ask us and we will explain and, where needed, improve the wording.
Registration terms
- Fees are in pounds sterling and are paid online through PayPal, or by UK bank transfer on invoice. For bank transfers the sender pays all bank charges.
- The rate that applies is the one in force on the day you pay: early until 31 March 2027, standard until 31 May 2027, late until 10 July 2027.
- Each registration covers one author and one paper. Every co-author who attends registers and pays separately, as an author or as audience. Papers are published with all their authors as submitted.
- Members of the Advisory and Organisation Board receive a 10% discount. Groups of 10 or more from one institution may ask for a group rate.
- Participants must be 18 or older.
- Participants are responsible for their own travel, health and cancellation insurance.
Cancellation and refunds
- Cancel in writing to registration@iceepsy.com by 10 July 2027 and we refund your fee minus a 20% administration fee.
- After that date, or if you do not attend, we cannot refund, because the venue and catering are committed on your behalf. You may instead keep it as a credit for ICEEPSY within the next two years.
- If we cancel or move the conference, you choose between a full refund and a transfer to the new dates.
- Refunds go back to the original payment method within 14 days.
Privacy notice
The data controller is ISO LONDON LIMITED, 81 Turners Hill, Waltham Cross, Hertfordshire, England, EN8 9BD, registered with the UK Information Commissioner's Office under reference ZC242713. Contact: info@iceepsy.com.
- What we collect: what you type into our forms, such as names, affiliations, email addresses and your abstract; and payment references from PayPal. We never see or store card details.
- Why: to review submissions, run the conference, publish accepted papers and meet our accounting duties (contract and legal obligation). Newsletters are sent only with your consent or, for past participants, on the basis of our legitimate interest, and always with a one click unsubscribe.
- Who sees it: reviewers see the abstracts they review. Our processors are Supabase (database, EU region), Vercel (hosting), Resend (email) and PayPal (payments). We never sell or rent data.
- How long: submissions and registrations for six years for accounting and publication records; newsletter data until you unsubscribe.
- Your rights: access, correction, deletion, objection and portability under UK GDPR. Write to info@iceepsy.com. You may also complain to the ICO at ico.org.uk.
- Cookies: this site sets no tracking or advertising cookies. The PayPal checkout sets its own cookies when you choose to pay.
Ethics and peer review
- Every submission is reviewed by members of the scientific committee. Decisions follow the reviewers' recommendations; payment never influences acceptance.
- Reviewers declare conflicts of interest and are reassigned when they have one.
- Research involving human participants must have approval from an appropriate ethics committee, or a clear explanation of why none was needed.
- We follow COPE guidance on misconduct, plagiarism and duplicate publication, and check full papers with Crossref Similarity Check.
- We make no promises about impact factors, rankings or journal publication.
Artificial intelligence
Generative AI may be used to improve language and readability if disclosed. It must not generate data, results or references, and cannot be an author. Reviewers must not upload submissions to AI tools, to protect authors' unpublished work.
Code of conduct
ICEEPSY is a place for respectful scholarly exchange. Harassment, discrimination and intimidation are not tolerated in sessions, social events or online. Speak to any member of the secretariat, or write to info@iceepsy.com; reports are handled confidentially by the chair.
Photography and recording
We take photographs in public areas of the conference for reports and future promotion. If you prefer not to appear, tell the registration desk and we will respect it. Sessions are never recorded without the presenter's agreement.
Payment safety
ICEEPSY staff will never telephone you to ask for payment for registration, accommodation or travel. Pay only on iceepsy.com. If anyone contacts you otherwise, do not pay, and tell us at info@iceepsy.com.
Complaints
If something has gone wrong, write to info@iceepsy.com with the subject "Complaint". We acknowledge within 2 working days and give a full answer within 14 days.
Organiser and governing law
ICEEPSY is organised by ISO LONDON LIMITED, a company registered in England and Wales under number 09219513, 81 Turners Hill, Waltham Cross, Hertfordshire, England, EN8 9BD. These terms are governed by the law of England and Wales. Nothing in them limits any legal right you have as a consumer.
Accessibility
Tell us about any access need when you register. This website aims to meet WCAG 2.2 AA; if something does not work for you, please write to us and we will fix it.
