Governing Law
This Registration Agreement is governed by the laws of North Cyprus. All other international legal frameworks are expressly excluded. By registering, you confirm that you have read, understood, and agreed to these Terms and Conditions.

1. Insurance

All participants are responsible for obtaining their own insurance coverage. ICEEPSY 2025 and its representatives shall not be held liable for any personal injury, property damage, loss, or delays caused by third-party services, negligence, or unforeseen events such as illness, weather, strikes, war, or natural disasters.

2. Disclaimer

The views expressed by speakers, attendees, sponsors, or exhibitors are their own and do not reflect the views of ICEEPSY 2025. All participants are individually responsible for the content they present, publish, or promote.

3. Cancellation Policy

3.1 Cancellation by the Delegate

3.1.1 Registration: Cancellations before the deadline on the event website will be refunded minus a 20% administrative fee. No refunds will be issued after this date or for no-shows.
3.1.2 Substitution or Credit: Delegates may request a substitution or a full credit for use at any ICEEPSY event within two years. Requests must be submitted in writing before the registration deadline.
3.1.3 Travel and Accommodation: ICEEPSY 2025 is not responsible for personal travel or hotel cancellation fees.

3.2 Cancellation or Postponement by ICEEPSY

ICEEPSY 2025 is not liable for cancellations or schedule changes caused by factors beyond its control, such as pandemics, conflict, natural disasters, or legal changes. In the event of postponement, registrations will be carried over to the new date. Delegates unable to attend will receive a two-year credit.

3.3 Tours and Dinners

3.3.1 Minimum Participation: ICEEPSY 2025 may cancel any tour or dinner if fewer than 15 participants register. In that case, a full refund will be provided.
3.3.2 Delegate Cancellations: Cancellations made before the event deadline will be refunded minus a 20% administrative fee. No refunds after the deadline.

4. Visas & Travel

4.1 Travel Arrangements

Delegates are responsible for arranging and covering their travel and accommodation.

4.2 Visa Support

Delegates must check visa requirements and apply in a timely manner. ICEEPSY 2025 will issue a Letter of Invitation within 7 working days to registered authors of accepted papers, upon written request. The letter does not guarantee visa approval.

5. Payment

5.1 Online Payment

Secure payments are processed via PayPal.

5.2 Bank Transfers

For domestic and international transfers to the United Kingdom, all fees (including intermediary charges) must be covered by the sender.

5.3 Discounts

5.3.1 Eligibility:
- Members of the ICEEPSY 2025 International Advisory and Organisation Board or affiliated institutions are eligible for a 10% discount.
- Group discounts are available for delegations of 10 or more.
5.3.2 Limitation: Only one discount applies per registration.

6. Admittance

6.1 Right to Refuse

ICEEPSY 2025 reserves the right to remove any participant who behaves disruptively or violates venue policies. No refunds will be issued in such cases.

6.2 Age Limit

Participants must be 18 years or older. Written consent is required for exceptions.

6.3 Dress Code

Attendees must respect the dress code of the conference venue.

7. Multi-Authored Submissions

Each author attending the event must register and pay the registration fee individually.

8. Presentation Limits

Each registered participant may present one paper only. If a second paper is accepted, a separate registration with a 50% discount applies.

9. Media Consent

By participating, you consent to being photographed, recorded, or filmed by ICEEPSY 2025. These materials may be used for promotional or archival purposes.

10. Data Protection

All personal data is processed in accordance with the applicable data protection laws of North Cyprus. Data is used solely for conference-related purposes and will not be shared without explicit consent.
